Your privacy, confidentiality and trust matter to us.

Last updated: 2 November 2026

At Kairos Psychology and Pegasus Project CIC, we are committed to protecting your personal information and respecting your privacy.

Whether you are seeking psychological support, enquiring about a creative wellbeing programme or simply getting in touch, we want you to feel confident that your information will be treated with care, sensitivity and respect.

This notice explains how we collect, use, store and protect your personal information.

1. Who We Are

This website brings together two distinct organisations.

Kairos Psychology

The professional psychology practice of Dr Mary Doran, HCPC-registered Counselling Psychologist, providing psychological assessment, therapy and related services.

Dr Mary Doran is responsible for personal information processed through her independent psychology practice.

Pegasus Project CIC

A Community Interest Company offering creative wellbeing experiences through clay, art, nature and meaningful human connection.

Pegasus Project CIC is responsible for personal information processed in connection with its community programmes.

Although the organisations share this website, their activities and purposes are distinct.

2. Information We Collect

Depending on how you interact with us, we may collect:

  • Your name, email address and telephone number.

  • Information you provide through our website contact form.

  • Your preferred method of contact.

  • Information necessary to arrange appointments, workshops or creative wellbeing activities.

  • Emergency contact details where appropriate.

  • Relevant accessibility requirements or individual support needs.

  • Information supplied by parents or carers about children participating in activities.

  • Relevant allergy, sensitivity or health information necessary for safe participation in creative activities.

  • Your preferences regarding newsletters and future communications.

For professional psychological services, additional personal and sensitive information may be collected as part of a separately agreed clinical process.

We encourage visitors not to include detailed medical histories or other highly sensitive personal information in the general website contact form.

3. How We Use Your Information

We use personal information to:

  • Respond to enquiries and requests for information.

  • Arrange psychological appointments or creative wellbeing activities.

  • Manage registrations, bookings and programme attendance.

  • Communicate with participants, parents and carers.

  • Make appropriate arrangements for accessibility, individual needs and safe participation.

  • Maintain relevant administrative, safeguarding and professional records.

  • Send newsletters where you have chosen to subscribe.

  • Meet applicable legal, financial, regulatory and professional responsibilities.

We do not sell your personal information or share it for unrelated marketing purposes.

4. Our Legal Basis for Processing Information

We process personal information in accordance with UK data protection law.

Depending on the purpose, our lawful basis may include:

Legitimate interests: Responding to enquiries and carrying out necessary administration, where these interests do not override individual rights.

Contractual necessity: Taking steps to arrange or provide services that you have requested.

Legal obligations: Meeting relevant legal, financial, safeguarding and professional responsibilities.

Consent: Sending newsletters where you have actively chosen to subscribe, or processing information where consent is otherwise required.

Information about physical or mental health receives additional protection under UK data protection law.

Where we need to collect health information, we identify an appropriate additional legal condition for doing so. This may include processing necessary for professional healthcare under confidentiality obligations or explicit consent where appropriate.

We collect only the information reasonably necessary for the relevant purpose.

5. Professional Psychological Services

Kairos Psychology provides professional psychological services, including psychological assessment, therapy and related clinical interventions.

These services may involve collecting sensitive personal information relating to psychological wellbeing, physical health, personal circumstances and treatment.

Clinical information is handled in accordance with applicable data protection requirements, professional standards and confidentiality obligations.

People receiving psychological services are provided with appropriate information about clinical confidentiality, record keeping and the circumstances in which information may need to be disclosed.

Confidentiality is respected, except where disclosure is required or permitted by law, including relevant safeguarding responsibilities.

6. Pegasus Project Creative Wellbeing Programmes

Pegasus Project CIC offers creative wellbeing activities for adults, children and young people.

These experiences may involve clay, art, nature and other creative activities intended to encourage enjoyment, connection, exploration and wellbeing.

Although programmes may be facilitated by a qualified psychologist or clay therapist, participation does not require a psychological assessment and does not automatically constitute psychotherapy or clinical treatment.

Participants are not routinely psychologically assessed, and attendance does not automatically establish a clinical relationship.

The purpose of these programmes is to provide opportunities for creative expression, relaxation, enjoyment and meaningful connection in a supportive environment.

Information collected for these activities is used for programme administration, safe participation and appropriate safeguarding, rather than routine psychological assessment.

Where individual psychological assessment or therapy is separately requested and agreed, it will be managed under appropriate professional arrangements.

7. Health, Allergies and Safe Participation

To help provide a safe environment, Pegasus Project may ask participants to complete a separate information and consent form before attending certain activities.

This may include questions about:

  • Known allergies or sensitivities to clay and creative materials.

  • Skin or respiratory sensitivities.

  • Accessibility requirements.

  • Relevant health considerations affecting safe participation.

  • Emergency contact details.

This information is collected to help us make appropriate practical arrangements and respond to participants' needs.

Providing relevant health or safety information does not constitute psychological assessment.

Health information will be handled with additional care and accessed only by those who need it for legitimate programme or safety purposes.

Participants will also receive appropriate information about the nature of the activities and any relevant safety precautions.

8. Children's Privacy and Safeguarding

We recognise the particular importance of protecting children's personal information.

For children's creative wellbeing programmes, relevant information will generally be collected from parents or carers where appropriate.

This may include the child's name, age, emergency contact information, relevant support needs and details necessary for safe participation.

Children are encouraged to participate freely and creatively without being expected to disclose personal experiences or psychological difficulties.

We respect children's privacy, dignity and individuality while recognising that safeguarding concerns may sometimes require appropriate information-sharing.

Photographs or identifiable recordings of children will not be used for promotional purposes without appropriate permission.

9. How We Store and Protect Information

Our website is hosted by Squarespace.

Website enquiries are currently directed to our professional email account hosted by IONOS. Depending on the website's settings, submissions may also be stored within Squarespace.

We take reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure.

Access to personal information is limited to those with a legitimate reason to handle it.

Information collected for creative wellbeing programmes is not automatically incorporated into psychological clinical records.

Clinical information is handled separately as part of the professional psychology service.

We may use trusted service providers for website hosting, email communications, administration and other necessary functions.

Where personal information is transferred outside the United Kingdom, we apply the relevant legal requirements and appropriate safeguards. Further information about any applicable international transfers and safeguards can be requested using the contact details above.

10. How Long We Keep Information

We retain personal information only for as long as necessary for the purpose for which it was collected, taking account of relevant legal, safeguarding, professional and administrative requirements.

General enquiries

General website enquiries that do not result in psychological services or programme participation are normally retained for up to six months after our last communication.

After this period, the information will be securely deleted unless there is an ongoing matter, safeguarding concern, complaint or another justified reason for retaining it.

Creative wellbeing programme records

Information relating to programme participation is kept for periods appropriate to its administrative, financial, safeguarding and legal purposes.

Clinical records

Clinical records relating to psychological services are retained separately in accordance with applicable professional, legal and insurance requirements.

Newsletter subscriptions

Newsletter contact information is retained while you remain subscribed, subject to keeping limited information where necessary to respect an unsubscribe request.

We periodically review the information we hold and securely delete or anonymise personal information when it is no longer required.

11. Newsletters and Communications

We may occasionally share information about creative wellbeing programmes, workshops, research and upcoming events.

Visitors can choose whether to receive these communications through an optional subscription checkbox.

Newsletter subscription is not a condition of making an enquiry or attending a programme.

You may unsubscribe from marketing communications at any time.

We do not automatically add people to our marketing list simply because they have contacted us.

12. Sharing Personal Information

We do not share personal information with third parties for unrelated marketing purposes.

Information may be shared where reasonably necessary with authorised service providers, professionals or organisations involved in delivering services.

Information may also be disclosed where required or permitted by law, including for safeguarding, regulatory or legal reasons.

Any sharing will take account of relevant data protection requirements and professional confidentiality obligations.

13. Your Rights

Under UK data protection law, you may have the right to:

  • Request access to personal information held about you.

  • Ask for inaccurate information to be corrected.

  • Request deletion of information in certain circumstances.

  • Request restriction of processing.

  • Request transfer of your information where applicable.

  • Withdraw consent where processing relies upon consent.

You also have the right to object to certain processing of your personal information, including processing based on legitimate interests and processing for direct marketing.

These rights are subject to relevant legal conditions and exceptions.
